Keptly LLC (“Keptly,” “we,” “us,” or “our”) provides HVAC filter delivery and compliance documentation services to multifamily property management companies. This Privacy Policy explains what information we collect through our website (keptlyusa.com), our cost assessment tool, and related email communications — and how we use and protect it.

1. Who we are

Keptly LLC is a limited liability company organized in the State of Florida, United States. You can reach us at hello@keptlyusa.com with any privacy questions or requests.

2. Information we collect

We collect information you provide directly and information collected automatically when you use our site.

Information you give us: your first name, business email address, and the property details you enter into our cost assessment tool (such as unit count, filter program, occupancy, and operational answers). If you contact us, we keep the contents of that correspondence.
Information collected automatically: basic technical and usage data such as IP address, browser type, device information, pages visited, and referring source, collected through cookies and similar technologies used by our website and form provider.

3. How we use your information

To generate and deliver your filter cost assessment and the requested breakdown materials;
To send you related emails about HVAC filter compliance, Keptly’s services, and relevant follow-ups;
To respond to your inquiries and provide customer support;
To operate, maintain, and improve our website and services;
To comply with legal obligations and protect our rights.

4. Email communications

When you submit your email through our assessment tool, you consent to receive emails from Keptly. Every marketing email includes an unsubscribe link, and you can opt out at any time — we honor opt-outs promptly in accordance with the U.S. CAN-SPAM Act. You can also email hello@keptlyusa.com to be removed.

5. SMS / text message communications

As part of Keptly’s filter delivery and compliance service, residents of properties managed by our property-management clients may receive operational, transactional text messages from Keptly. We do not send marketing or promotional text messages.

Message types: filter-delivery notifications and reminders to confirm a completed filter change by uploading a photo, plus related maintenance follow-ups;
Consent: residents consent to receive these messages through a communications-consent clause in their lease agreement with the property; mobile numbers are provided to property management at lease signing or move-in, and consent is documented at the property level;
Frequency: message frequency varies with your service cycle (typically a few messages per month);
Cost: message and data rates may apply;
Opt-out: reply STOP to any message to opt out at any time. You will receive one confirmation message and no further texts. Reply START to resubscribe;

Mobile information is never shared. No mobile information — including a resident’s phone number and SMS opt-in/consent data — will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell this information. Any sharing is limited to subcontractors and service providers (such as our SMS delivery provider, Twilio) strictly as needed to operate the messaging program.

6. How we share information

We do not sell your personal information. We share it only with service providers who help us operate our business, and only as needed to provide our services:

Systeme.io — landing pages, forms, contact management, and email delivery;
Twilio SendGrid — outbound email delivery infrastructure;
Twilio — SMS / text message delivery for service notifications;
Cloudflare — DNS, security, and content delivery for our website;
Google Workspace — our business email.

We may also disclose information if required by law, to enforce our agreements, or to protect the rights, safety, and property of Keptly or others.

7. Cookies and tracking

Our website and form provider use cookies and similar technologies to make the site work, remember your inputs, and measure performance. You can control cookies through your browser settings; disabling them may affect how the site functions.

8. Data retention

We keep your information for as long as needed to provide our services, communicate with you, and meet legal and business requirements. When you unsubscribe or request deletion, we remove or de-identify your information except where we are required to retain it.

9. Your choices and rights

You may request to access, correct, or delete the personal information we hold about you, and you may opt out of marketing emails at any time. To make a request, email us at hello@keptlyusa.com. Depending on where you live (for example, California or the EU/EEA), you may have additional rights under applicable law; we will honor those rights as required.

We use reasonable administrative and technical safeguards to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
